Why It Matters

Why unscheduled pickup and local delivery creates a coordination burden that scales badly

A customer orders for local delivery. Without Flare, the order places with no delivery date or time — your team emails to arrange a window, waits for a reply, updates the order manually and schedules the driver. Each local delivery order takes 10 minutes of coordination before it’s even scheduled. With Flare, the customer selects their date and time slot at checkout. The order arrives with everything the driver needs. No follow-up. No manual scheduling.

Store pickup and local delivery are operationally very different from national shipping — but Shopify’s native handling of both stops at the method selection. A customer who selects “store pickup” or “local delivery” at checkout has no way to indicate when. Your team finds out when they arrive — or has to contact the customer after the order places to arrange a time. For low order volumes this is manageable. As pickup and local delivery volumes grow, the coordination burden grows with them.

Unscheduled pickups create specific problems at the counter. A customer who ordered online and arrives expecting immediate pickup when the order hasn’t been prepared creates a poor experience. A wave of pickup customers arriving at the same time because they weren’t given slots creates a queue. The experience that should be the most convenient channel — pickup — becomes one of the most friction-heavy.

Local delivery without scheduling has the same problem on the driver’s side. A driver with ten uncoordinated deliveries is operating reactively — making calls, waiting for customers to be home, managing exceptions on the road. When time slots are set at checkout, the driver’s route is structured before they leave. Customers are expecting them. The delivery success rate is higher and the driver’s time is better spent.

01

Store pickup — date and time slot selection at checkout

When a customer selects store pickup, Flare shows a date picker with time slot selection based on your pickup availability — opening hours, slot capacity, and any blocked dates or reduced hours. Customers select their preferred pickup date and slot before completing the order. The selected slot is written to the order as a tag and attribute — your team sees it instantly and can prepare the order before the customer arrives. Slot capacity limits prevent overbooking any given window.

02

Local delivery — radius rules, date and time slot selection

Configure local delivery rules by postcode radius, city or specific delivery zones. Customers within your local delivery area see date and time slot selection for local delivery. Customers outside the radius see national shipping options instead — no manual checking required. Local delivery rules can include different cut-off times, different available days and different time slot windows from your national shipping options. The right options appear automatically based on where the customer is.

03

POS integration — pickup scheduling for in-store orders

For merchants using Shopify POS, Flare’s pickup scheduling integrates with in-store orders. A customer placing an order in-store for future collection can select their pickup date and slot through the same Flare interface — their order is tagged with the slot and appears in the same pickup management view as online orders. One view of all scheduled pickups regardless of where the order was placed.

What Changes

Three coordination problems that disappear.

Pickup orders are prepared before the customer arrives

When the pickup date and time slot is selected at checkout, your team knows when to expect each customer. Orders can be picked, packed and ready at the counter before the customer walks in. No reactive preparation. No waiting at the counter while the order is found. The pickup experience matches what customers expect from a brand they chose because it’s convenient.

Local delivery routes are structured before the driver leaves

A driver with ten scheduled deliveries and confirmed customer time slots operates on a plan, not a series of calls. Customers are expecting them in the right window. Missed deliveries from customers not being home reduce significantly. The driver’s time is spent delivering — not coordinating.

The post-order scheduling conversation disappears

Every local delivery or pickup order that currently requires a follow-up email or phone call to arrange timing costs your team time that compounds with volume. When time slots are confirmed at checkout, that conversation doesn’t happen. The order arrives with everything needed. The customer has everything they need. No follow-up required.

Common Questions

Pickup and local delivery — answered.

By postcode or delivery zone. Define your local delivery radius as a set of postcodes, a city, or a geographic zone. Customers whose address falls within the zone see local delivery date and time slot selection. Customers outside the zone see your national shipping options. No manual checking — the right options appear automatically based on the customer’s location.

Yes. Set slot capacity limits for each time window — for example, a maximum of 5 pickup orders between 10am and 12pm. When a slot reaches capacity it closes automatically and the next available window is shown. This prevents overbooking any given period and ensures your team can prepare each order before the customer arrives.

Yes. Flare’s pickup scheduling integrates with Shopify POS so in-store orders for future collection use the same date and slot selection. In-store pickup orders appear in the same management view as online pickup orders — one view of all scheduled pickups regardless of channel.

Yes. Pickup availability — days, hours and slot windows — is configured independently from local delivery and national shipping. Your pickup counter might be open Monday to Saturday 9am-5pm with one-hour slots, while local delivery runs Tuesday and Thursday only with AM and PM windows. Each is configured separately in Flare.
