Why It Matters

Why manual ship date calculation is a fulfilment risk that compounds with volume

It’s 7am. Your team needs to know what ships today. Without Flare, someone works out which orders need to leave based on their delivery dates, calculates the ship dates manually against zone transit times and courier schedules, and produces a list — every morning, from scratch. If they make an error on a Highland order needing 2-day transit, the delivery misses. With Flare, every order already has its ship date calculated and written. Filter by today’s ship date. The list is there. Nothing depends on someone doing the calculation correctly.

A delivery date tells you when an order needs to arrive. A ship date tells you when it needs to leave. These are different — and the gap between them depends on the customer’s zone, the carrier’s transit time for that region, the days the carrier ships to that location, and whether the cut-off has passed. Calculating that correctly for every order, every day, is a task that takes time and introduces error when done manually. It is also entirely automatable.

Beyond ship date calculation, fulfilment operations and 3PLs need structured delivery data to route, prioritise and track orders accurately. Data that has to be manually calculated or entered is inconsistent — different people enter it differently, and errors compound over time. Structured tags, attributes and metafields written automatically from a single rules engine are consistent on every order, with no human in the loop.

As volume grows, the fragility of manual processes compounds. At 50 orders a day, manual ship date calculation is manageable. At 500, it is a full-time job that still breaks during peak periods. The same automated data flow that handles 50 orders handles 5,000 — without additional overhead, without additional error.

How It Works

Delivery data calculated and written to every order — automatically.

01

Delivery date, ship date, zone and method written at placement

The moment an order is placed, Flare writes to it: the customer’s selected delivery date, the calculated ship date, the shipping zone, the shipping method name and transit days. This goes to order tags, order attributes and metafields simultaneously. The tag format, attribute key names and metafield paths are fully configurable — match whatever your warehouse system, ShipStation workflow or 3PL expects. The data is there from the moment the order places, in the format every connected system can act on.

02

Ship date returned from valid delivery date — not estimated

Flare uses transit times, shipping day schedules, cut-off times and blocked dates to determine valid delivery dates for the customer’s location and shipping method. Once a valid delivery date is confirmed, Flare returns the corresponding ship date — the date the order needs to leave your warehouse to meet that delivery date, given the specific zone, cut-off and shipping method. That ship date is written to the order automatically at placement. When dates change, everything updates with a single button click — no manual tag editing required.

03

Delivery data feeds your shipping calendar, 3PL and Shopify Flow

The structured data Flare writes to every order flows directly into Flare’s shipping calendar — filter today’s orders by ship date in one click, nothing missed. ShipStation reads Shopify order tags natively. ShipBob and most 3PLs read order attributes or metafields. Shopify Flow can trigger on delivery date and ship date tags — route urgent orders, send pre-delivery notifications, release fulfilment batches. Every system gets what it needs, in the format it expects, automatically.

What Changes

Three manual processes that become automatic.

Ship dates calculated correctly — for every order, every zone

Your warehouse team sees the ship date for every order — calculated from the delivery date, zone transit time, carrier shipping schedule and cut-off rules. Not estimated. Not manually entered. Not dependent on someone doing the calculation correctly each morning. The same accuracy that applies at checkout applies to ship date calculation automatically.

Structured delivery data feeds every connected system

Tags, attributes and metafields are queryable by ShipStation, readable by ShipBob, actionable by Shopify Flow and passable to any 3PL that reads Shopify order data. The delivery date, ship date, zone and method that Flare writes to every order are available to every connected system in the format each one expects — configurable, consistent and always current.

Fulfilment scales with volume — without scaling manual work

The automated data flow that handles 50 orders handles 5,000. At low volume, manual ship date calculation is a manageable overhead. As volume grows — and especially during peak periods — it becomes a daily operational risk. Structured, automated delivery data removes that risk entirely, regardless of how many orders are placing.

Yes. When a delivery date changes, all tags, attributes and metafields update automatically. Admins can update delivery dates directly from the Shopify order view using Flare’s admin button — which recalculates the ship date and updates all fields in one click. No manual tag editing required.

Yes. ShipStation reads Shopify order tags natively as part of its standard sync. ShipBob and most 3PLs read order attributes or metafields. The tag format, attribute keys and metafield paths are configurable to match exactly what each system expects. Both delivery date and ship date can be written — use whichever your workflow needs, or both.
